Session Minutes

Monday, September 19, 2005

 

Following a meal the session established quorum.  In attendance were Vickie Coffin, Geoff Little, Chuck Pfaff, Dixie Williamson, Rachel Steele, Trevor Henderson, Amy (Cleghorn) Eubanks (clerk pro-temp) and the Moderator, Rev. Ken Locke.

 

The Session participated in spiritual nurture involving musical meter and professional development questioning what the book of order says regarding communion.  Applicable as Ken will be absent for the next communion Sunday. 

 

The minutes from the August 15, 2005 Session meeting were approved unanimously.

 

Moderator’s Report -

Ken noted that the number of homeless seems to be up and gave a report on his recent meeting with Tony G. about a new building on the corner.  Also noted that we need to begin planning for Advent.  Requested approval for a continuing education in Memphis Nov. 3-5th.  Dixie moved and Trevor seconded this motion and it was unanimously approved.

 

Geoff brought up that Ken’s mileage needs to be raised to .48/mile.  Geoff made the motion, Chuck seconded, it was approved unanimously.

 

Clerk’s Report -

Local tuba community requested the use of our sanctuary for their annual Tuba Christmas concert.  They offered to take up a love offering to benefit the church.  The date was Monday, December 19th and they would be here from 9am until 1:30pm.  The motion stands approved.

 

Treasurer’s Report – Vickie reported that there are some incorrect transactions on the detail report.  We are doing okay though $25,000 was requested from the Corporation last week as funds were getting low.  Will begin budgeting for 2006 next month.  A treasurer has been found for next year.  Jessie Schwartz has agreed to take over the duties next year.

 

Committee Reports

 

Congregational Life – The church picnic is ready to go and will take place next Sunday, Sept. 25th.  Amy (Cleghorn) Eubanks has also talked to Betty Harkness and Waffle Shop will take place this year and plans are getting underway.

 

Education – Notes attached.  A new CD/Video/DVD player was purchased.  Teachers for Sunday School classes were discussed as well as Amy Harkness will be organizing the children’s Christmas pageant.  A chair for the Education Committee has still not been found for next year.

 

 

Outreach – was not in attendance; offering stuff that we collected for the Martha O’Bryan Center is still here.  These materials need to get them soon.   Nina and Rachel agreed to go with Ken and present these materials this week.

 

Worship & the Arts – Ken is out the first two Sunday in October (2nd & 9th); before service mingling begins in October and Geoff and Tom will be meeting with the DPC artists at Tom’s house September 22nd.  Note from Ken: Christmas is on a Sunday this year.  Please start thinking about what to do.

 

Administration & Property –

-Chuck brought a list of ideas that people had submitted for increasing membership (attached).  These items were briefly discussed.

-AngelaPryor@dpchurch.com has been set up for the new secretary. 

-Elevator – it is dangerous.  Not any good options.  The contacts were out.  Only options are shutting down elevator.  May need to look at an annual service contract for the elevator.

-Vickie Coffin & David Maddox are handling the nominating committee

-Parking – Tony G. was interested in joint ownership in the white parking garage.  Options are also being evaluated with Suntrust.

 

Transformation Team –  Has not met in a while. 

 

Old Business – What should we do with the people who received letters?  3 of 37 responded.  Amy (Cleghorn) Eubanks talked to Amelia Stansell and she requested to be moved to inactive roll which was unanimously approved.  The remainder who have not responded will be dealt with next month.  Ken presented some examples of what other congregations are doing.

 

The issue of delegating wedding approvals to the pastor and wedding coordinator was also revisited.  This would be for routine wedding requests only.  It came from the Worship & Arts Committee and was approved unanimously.

 

New Business – Will Connelly from MDHA has a downtown office that is being closed and he would like to use this building more than the 10 hours/wk that was agreed upon.  Will get a written proposal for next month’s meeting but Ken would like the Session to begin thinking about his request.
